Wedding coordinator Philippines: services, 2026 rates and how to choose

What a wedding coordinator in the Philippines does, how planner, partial and on-the-day packages differ, 2026 rates from named coordinators, and what to ask.

The Ceremo Team8 min read

A wedding coordinator in the Philippines runs the logistics of your wedding: the timeline, the suppliers and the entourage, from hair and makeup until the last guest leaves. Packages come in three tiers. In September 2026, named coordinators listed on-the-day coordination at ₱20,000 to ₱75,000 and full planning at ₱60,000 to ₱250,000.

Already booked one? You can add your coordinator to your guest list, checklist and Day-of screen on Ceremo, free on every plan.

Wedding planner vs wedding coordinator in the Philippines

The difference is when they start. Event Nest's hiring guide draws the line this way: a planner "joins you soon after the engagement" to set the budget, choose the venue and build the supplier team. A coordinator "steps in after you've made the big decisions", once the venue and caterer are booked, and builds a plan from those pieces. An on-the-day coordinator shows up to run the program.

In practice, Filipino suppliers sell all three as "coordination", which is why quotes for the same-sounding service run from ₱20,000 to ₱250,000 in the rate table below. Ask which tier a quote covers before you compare it with another.

TierWhen they startWhat you get
Full planning (full coordination)8 months to 1 year beforeBudget, supplier sourcing and booking, design, meetings, the day itself
Partial (shared, semi-full)At least 6 months beforeHelp with the suppliers you haven't booked, the timeline, the day itself
On-the-day (OTD, day-of)About a month beforeReview of your finished plan, supplier confirmations, the day itself

Start times are Fit 2 Be Tied Events' own booking guidance. Other teams quote shorter lead times, so treat these as the safe end.

What do wedding coordinator services include?

Every tier includes the wedding day; the tiers differ in how much of the planning the team takes on before it.

Fit 2 Be Tied Events' Event Nest listing is one of the most detailed in the directory, and it's a useful checklist for reading anyone's package:

  • Meetings: unlimited consultations on every tier, then up to 5 in-person meetings for full, up to 3 for partial and 2 plus 1 online for OTD.
  • Team size: one event manager and at least five associates.
  • Hours: up to 12 coordination hours on the wedding day.
  • Reporting time: at least 4 hours before the ceremony.
  • Partial is for couples who've finished about half the planning, with the ceremony and reception venues, catering, attire and invitations already set.

Other listings add the details that trip couples up later. 8willhappen Events Management lists 12 hours of day-of coverage and no overtime fee if the day runs late. JCLi Events lists an on-site team for 6 hours. A Filipino church wedding with a separate reception can easily run past that, so hours matter as much as price.

Christine Ong-Te Events (Metro Manila)₱75,000₱100,000₱130,000

On-the-day alone runs from ₱20,000 to ₱75,000 across these ten teams. The tiers also overlap: SOFEM's full planning at ₱60,000 costs less than Christine Ong-Te's day-of package.

These are directory listings, not signed quotes. A few coordinators' own websites we checked publish no prices at all and ask you to inquire, so confirm the current rate and inclusions with the coordinator before you plan around a number. Editorial guides land in the same place: Nuptl's June 2026 estimate puts Metro Manila OTD at about ₱25,000 to ₱45,000 and full planning at about ₱90,000 to ₱200,000 or more. For where the coordinator sits in the whole budget, see how much a Filipino wedding costs.

What pushes the quote up

  • More guests and more team members. Ask whether the price changes above a set headcount.
  • Two venues. A church ceremony and a separate reception need people in both places.
  • Out-of-town weddings. Events by Amanda Tirol lists a ₱15,000 fee for Tagaytay, Batangas or Baguio and ₱30,000 for destination weddings.
  • Overtime. Some teams charge by the hour past their cap; 8willhappen says it doesn't.

Outside Metro Manila

Fewer coordinators in Cebu, Davao and the provinces publish rates online. Nuptl estimates intimate or provincial OTD at about ₱15,000 to ₱20,000. That's an estimate, so ask two or three local teams for written quotes. If you bring a Manila team to the province, add their travel and lodging.

Your venue coordinator is not your wedding coordinator

Hotels and reception venues include a banquet coordinator, and many couples assume that person runs the whole wedding.

Storia's June 2026 guide draws the line: "The venue's banquet coordinator manages the venue's side: the room, the in-house catering service, the venue staff." Everything outside that is yours. The church, the photographer who's running late, the florist you booked yourself, ninang standing in the wrong spot in the processional.

Your own coordinator covers all of it, across both venues, all day. Without one, the job still gets done, usually by a relative who would rather be a guest.

When is an on-the-day coordinator enough?

OTD works when the planning is done and you want professionals to run it.

Done means every supplier is booked and confirmed, and you have an hour-by-hour plan from prep to send-off. Fit 2 Be Tied's listing pitches its OTD package at "organized couples". The OTD team refines your timeline, but a month out it can't find you a caterer or a photographer.

Pay for partial or full planning instead when:

  • you're three months out and still booking suppliers
  • the wedding is out of town and you don't know the local suppliers
  • you have a big guest list split across a church and a separate reception
  • you can't yet write your ceremony and reception program from start to finish

Filipino ceremonies need one more check. A full entourage with principal sponsors plus the candle, veil and cord sponsors needs a coordinator who has lined up a Filipino processional before. Ask for a sample lineup from a recent church wedding.

When should you book a wedding coordinator?

As soon as your date and venue are fixed, if you want full planning. Fit 2 Be Tied's own site says 8 months to 1 year for full, at least 6 months for partial and about a month for OTD. 8willhappen's listing suggests 6 to 12, 3 to 6 and 2 to 3 months for the same tiers.

Our wedding checklist puts the coordinator in the 12-to-9-months block with the photographer and caterer. The deposit is what holds your date: Weddings Are Blessings, for example, lists a 30 percent deposit with the balance due one month before the event.

Questions to ask a coordinator before you sign

  1. How many weddings does your team run on our date, and who exactly will lead ours?
  2. How many people will be on site, and from what time? Get it in writing.
  3. How many hours are included, and what happens if the reception runs late?
  4. How many meetings do we get, in person and online?
  5. Can we see a timeline and a processional lineup from a recent wedding?
  6. What do you do when a supplier cancels or arrives late?
  7. Who replaces you if you're sick on the day?
  8. What is the payment schedule, and the cancellation and postponement policy?

Before any deposit, Storia says to get a written contract, a staggered payment schedule, three recent references and a workspace you can verify.

Where Ceremo fits

Ceremo keeps the guest side of the wedding in one place your coordinator can open too: who's invited, who has answered and where everyone sits.

You can invite your coordinator into your wedding on Ceremo, free on every plan, and choose what they see. The invite form starts from a role: Lead coordinator, Assistant, Day-of staff or Can view only. Checklist tasks can be assigned to you or to your coordinator, and your overview shows what they're waiting on from you. On the day, the Day-of screen shows the run sheet, and Hand over prints the event-day brief for the caterer and the door: final headcount, every dietary requirement with its table and an arrival list with table numbers.

If your coordinator already runs everything from their own spreadsheet and you're happy with it, you don't need another tool. If you're collecting RSVPs through Messenger replies, start your guest list free and send your coordinator the invite.

Frequently asked questions

How much does a wedding coordinator cost in the Philippines?

Ten coordinators listing packages on the Event Nest directory in September 2026, mostly in Metro Manila, charged ₱20,000 to ₱75,000 for on-the-day coordination, ₱45,000 to ₱150,000 for partial planning and ₱60,000 to ₱250,000 for full planning. Guest count, number of venues, hours on the day and team size move the final quote.

What is the difference between a wedding planner and a wedding coordinator?

A planner joins soon after the engagement and helps set the budget, choose the venue and build the supplier team. A coordinator steps in once the venue and caterer are booked and turns those pieces into one plan for the day. In the Philippines both are often sold as "coordination" in three tiers: full, partial and on-the-day.

What does an on the day coordinator do?

An on-the-day coordinator takes over a finished plan a few weeks before the wedding, checks the timeline with every supplier, then runs the day itself: cueing the entourage, directing suppliers and fixing problems so the couple and their families do not have to.

When should we book a wedding coordinator?

Book full planning 8 to 12 months before the wedding and partial coordination at least 6 months out. On-the-day teams can be booked closer, but popular dates fill early, so reserve as soon as your venue and date are fixed.

Do we need our own coordinator if the venue has one?

Yes, for most weddings. The venue coordinator manages the room, the in-house catering and the venue staff. Your own coordinator manages the church, every supplier you booked separately, the entourage and the full timeline from hair and makeup to send-off.

How many people should a coordination team bring?

Ask for a number in writing. Among coordinators who publish it, Fit 2 Be Tied Events lists one event manager and at least five associates, and SOFEM lists a team of five to seven for on-the-day coordination.
