Plan your seating
Add tables, seat every guest, and give guests a seat finder so they can find their table on the day.
Updated
The seat plan is where you lay out your reception and put every guest in a seat. It works from your Guest List, so everyone you invited is already waiting to be seated. On the day, guests scan a QR code and find their own table.
The seat plan works on every plan, free and Premium.
Open the seat plan
Open your invitation and choose Seat Plan in the menu. The top of the page counts your Tables, Seated and Unseated guests and Open seats. Switch between Chart, a drawing of the room, and List, the same tables as a list.
Add your tables
- Under Add a table, pick a shape: Round, Square, Long table or Head table.
- Give it a Table Name, like "Family Table", and set the Seat Count.
- For a long table, choose how the seats sit: Equal on both sides, Custom for a different number on each side, or One row. You can also turn the End seats on or off.
- Click Save, then drag the table where it belongs in the room.
To change a table later, click it to open Edit Table. There you can rename it, change its seats, Rotate it, or Delete it.
A few extras in the same window:
- Notes holds directions for guests, like "Left side of the stage".
- Open Seating lets guests sit anywhere at that table. The seat finder then shows the table and tablemates instead of an exact seat.
Seat your guests
Your guests who have no seat yet are listed under Unassigned. Filter them by Attending, Pending or Declined, by side, or by children.
- On a computer, drag a guest onto a seat.
- On a phone, tap a guest, then tap a seat.
To change a seated guest on a phone, tap them. You can Move up or Move down to trade places with the guest beside them, Move seat to tap a new seat (tap someone else's seat to swap), or Unassign to send them back to the list.
Guests bringing a plus one show a +1 badge. Children show a small baby icon.
Helpful tools
- Lock tables freezes tables and labels, so they can't be dragged by accident. You can still seat guests.
- Use guest initials keeps a crowded chart readable.
- Add a text label marks things in the room, like the stage or the dance floor.
- Print guide shows page frames for A4 or Letter paper. Auto-arrange tables fits them onto pages for you, and Tidy each page spaces them evenly.
- Export chart saves your seating as a PDF to print or hand to your venue. Someone you gave view-only access to the seat plan, like your coordinator, has Export chart at the top of the page too, so they can print it without being able to move anyone.
The seat finder for guests
On the day, guests scan your seat finder QR code, search their name, and see their table. A guest in a seat without a name searches your group's name instead ("Reyes Family") and picks their seat, "Guest 2". Use Download QR to save the code for printing, or Copy share link to send the link. The code's logo, colours and shape come from the QR Designer.
Open Seat finder settings to choose what guests see:
- Show tablemates shows the names of the other guests at their table.
- Show table notes shows the directions you wrote for each table.
- Hide unseated guests leaves out anyone you haven't seated yet.
- Exclude children from seat count stops children from using up a table's seats.
- New seat finder link retires the current link, for example if it was shared by mistake. The old link and every printed QR stop working, so download the new QR.
Frequently asked questions
How do I take a guest out of the seating chart?
On a phone, tap the guest and choose Unassign. They go back to the Unassigned list.
Can children sit without taking a seat?
Turn on Exclude children from seat count in Seat finder settings. Guests marked as children then don't count toward a table's seats.
My tables don't fit on one page.
Turn on the Print guide, then click Auto-arrange tables. If they still don't fit, the export splits them across pages.
